Preparing a Book for Publication: A Practical Checklist

Finishing the manuscript is a major milestone, but publication adds a different kind of work. Text has to survive layout, printing, metadata systems, store requirements and multiple devices. A structured production checklist helps separate editorial decisions from technical delivery so last-minute fixes do not create new errors elsewhere.

GUIDE / 01

1. Freeze the editorial master

Before final layout, decide which file is the authoritative manuscript. Review chapter order, names, dates, repeated passages, image references and internal headings. Once layout begins, uncontrolled edits in multiple copies can create version confusion.

For translated editions, it is usually safer to stabilize the source edition first. Translators and designers can then work against one structure instead of chasing changing chapters.

2. Design for the actual reading direction

Typography is not only font choice. Line length, leading, paragraph spacing, headings and page margins determine whether long text is comfortable. Arabic publishing adds right-to-left layout considerations and requires testing with the actual fonts and export path used for print.

Images need enough resolution for the intended physical size, and important content should stay clear of trim and binding areas.

3. Use proof copies as production tests

A screen preview cannot fully predict paper color, image contrast, trimming and how a book feels in the hand. Order a small number of proofs and inspect them page by page. Mark every issue before changing the master.

Proofing is also a chance to test the cover spine, back-cover readability and whether text sits too close to edges.

4. Keep metadata consistent

Title, subtitle, author name, language, description, categories and publication data should match across the interior, cover and distribution platform. Inconsistent metadata makes a book harder to identify and can create duplicate catalog records.

If an ISBN is used, assign it to the correct edition and format. Different formats or substantially different editions may require separate identifiers depending on the distribution path.

5. Prepare print and digital separately

A print PDF and an e-book solve different problems. Print is fixed to trim size and physical pages; digital formats need reflow, device navigation and predictable chapter structure. Do not assume that a beautiful print PDF automatically becomes a good e-book.

Test digital files on more than one screen size and check the table of contents, image behavior and reading order.

6. Publish only confirmed availability

Store and distribution links should appear when the files have actually been accepted and the edition is available. Avoid “buy now” buttons that lead to empty pages or unconfirmed listings.

After launch, keep a record of the exact master files used, the publication date and any later corrections so future reprints and translations start from the right version.
